Confidentiality Policy

Wakitu out-of-School clubs and holiday clubs respects the right for all information, records and observations to be treated with respect and with due attention to confidentiality and privacy.  The only time confidential details might be passed on would be for child protection purposes. 

  • All information shared with the club will be kept in strict confidentiality and will not be disclosed without parental consent.  The only exceptions to this are where there appears to be a child protection issue or for an inspection. 

  • All registration forms will be stored in a secure place.  Records of children will be kept up until the child’s 21st birthday, then destroyed confidentially.  The accident and incident book will be kept until the child is 21 years of age. 

  • Records are available to parents about their own child at any time.  They will be required to sign and date this information when they access it.   

  • They will not have access to information about another child. 

  • Taking photographs will only be carried out after we receive written consent from parents. 

  • If a parent needs to have a confidential conversation regarding their child, it will be done at a time and place that suits both parties and where complete privacy can be ensured. 

  • Parents are requested that any information they learn about other children in the club or their families is kept confidential.  

  • Issues relating to the employment of staff, paid or voluntary, will remain confidential to those persons involved in personnel decisions. 

  • Staff, volunteers, students, parents/carers will be made aware of the Confidentiality Policy. 

  • Any breach of confidentiality by a member of staff will lead to disciplinary action.
